Supplier Spending POS: Use Your Records to Negotiate Better Prices

Most shop owners know their selling prices by heart. Far fewer can say exactly how much they spent with each supplier last month, which supplier raised prices, or who delivered late. Yet your supplier costs are often your biggest expense, and a small saving there goes straight to your profit.

Your POS already holds the numbers. This guide shows how to use supplier spending POS records to understand what you buy and negotiate with confidence.

Why supplier records matter

  • It’s your biggest cost. For most shops, buying stock takes the largest share of money.
  • Prices creep up. Small increases are easy to miss when you only see one invoice at a time.
  • You can’t negotiate without facts. “Can I get a better price?” is weaker than “I buy this much from you every month.”
  • Reliability counts. A cheap supplier who delivers late can cost you sales.

What MyLekha records

Purchases. MyLekha supports purchase operations, so stock coming in is recorded, and purchase returns when goods go back. See Stock Purchases and Transfers on a POS.

Expenses by supplier. You can select a supplier in an expense, and filter expenses by supplier and by employee. See POS Expense Tracking in Cambodia.

Reports by date. Reports can be filtered by date, store, staff and supplier, so you can look at a month, a quarter or a year.

A simple supplier review

1. List your top suppliers

Filter your records by supplier, and rank them by how much you spent over the last three months.

2. Find your most important products

Which items bring in the most money? Those are where a better price matters most. See Best Selling Products on a POS.

3. Compare prices over time

Look at what you paid for the same item in different months. Is the price creeping up?

4. Compare suppliers

For items you can buy from more than one place, compare the price per unit, and the delivery time.

5. Note reliability

Keep a simple note of late or incomplete deliveries. A short log is enough.

6. Check your stock levels

Don’t buy more than you need to chase a discount. See How Much Stock to Order and How Many Products to Stock.

How to start the conversation

Be polite, specific and ready with facts. For example:

“We’ve bought from you every month this year. Can we talk about pricing for regular orders?”

Things you can ask for:

  • A better price for larger or regular orders
  • A fixed price for a few months
  • Faster or more reliable delivery
  • Better payment timing
  • A small discount for paying on time

Adjust the words to match your relationship.

Don’t forget your own prices

If a supplier’s price goes up and you can’t change it, you may need to raise yours. See Change Prices POS and check the effect on your profit. See Profit and Loss Report in Cambodia.

Review it every year

A supplier review fits naturally into your year-end review, and a quick look each month keeps prices honest.

A quick checklist

  • Top suppliers listed by spend
  • Key products identified
  • Price changes checked
  • Alternatives compared
  • Delivery problems noted
  • Talking points ready
  • Your own prices reviewed

Conclusion

You don’t need to be a tough negotiator to get a better price. You need to know what you buy and what it costs, and your POS already knows. A few minutes with your records can turn into real savings.
