Shop Records for a Loan: What to Prepare in Cambodia
Shop Records for a Loan: What to Prepare in Cambodia

Shop Records for a Loan: What to Prepare in Cambodia

Many shop owners reach a point where a loan would help: a second branch, more stock, a new fridge, a renovation. Then the lender asks a simple question: “Can you show me how your shop is doing?” If your answer is a notebook, a few photos and a rough memory, the conversation is harder than it needs to be.

Good shop records for a loan don’t need to be fancy. They need to be clear, consistent and easy to check. This is general information, not financial advice, and every lender has its own rules, so ask yours what they need.

What lenders often want to see

Requirements differ, but lenders commonly look for:

  • Sales over time. Are they steady or growing?
  • Profit. Is there money left after costs?
  • Costs and expenses. Where does the money go?
  • Stock. Is it organized and real?
  • Clean records. Business and personal money kept apart
  • Consistency. The same routine over many months

What your POS can give you

Sales by date. Reports can be filtered by date, store and staff, so you can show monthly sales for several months. See Month-End POS Checklist.

A profit picture. Sales alone aren’t enough. Show what’s left after costs. See Profit and Loss Report in Cambodia.

Expenses on record. Expenses can be recorded and filtered by supplier or employee. See POS Expense Tracking in Cambodia and Supplier Spending POS.

Stock that matches. Regular inventory counts and adjustments show that your stock records are real. See Inventory Management on a POS.

A best-seller picture. Showing what sells and why helps tell the story of your shop. See Best Selling Products on a POS.

How to prepare

1. Start early

A few months of clean records are far more useful than one good week. Begin now, even if you don’t plan to borrow yet.

2. Keep a regular routine

Daily and monthly checks show a lender you run the shop with care. See Daily Closing Checklist POS.

3. Separate shop and personal money

Mixed money makes your numbers hard to read. See How to Separate Business and Personal Money.

4. Prepare a simple summary

For each of the last several months, note total sales, main costs and what was left. Add your top products and your goals. See Year-End Review for Shops and Sales Target for Shops.

5. Check your numbers

Make sure the figures match each other. If you find a gap, find the reason before the lender does.

6. Know why you need the money

Be ready to explain what you’ll spend it on, and how it will help your sales or save costs.

7. Ask the lender what they need

Ask about the forms, time period and documents. Prepare exactly what they ask for.

What to avoid

  • Changing numbers to look better. It hurts trust and can cause serious trouble
  • Mixing personal expenses into shop records
  • Handing over only sales. Show costs and profit too
  • Waiting until the last minute to organize records
  • Borrowing more than the shop can repay. Think about how repayments fit your cash flow

A quick checklist

  • Several months of sales reports ready
  • Profit and loss reviewed
  • Expenses recorded and filtered
  • Stock counted and adjusted
  • Shop and personal money separate
  • Short summary written
  • Lender’s requirements confirmed

Conclusion

A loan conversation goes much better when you can show, calmly and clearly, how your shop works. Your POS already records the numbers, so most of the work is keeping the habit. Start now, and you’ll be ready whenever you need it.
